Privacy Policy

This policy explains what personal information Enroute Tech Pty Ltd (ACN 670 736 562) (‘Enroute’, ‘we’, ‘us’, ‘our’) collects, why, who we share it with, and what you can do about it. ‘Personal information’ has the meaning given in the Privacy Act 1988 (Cth): information or an opinion about an identified individual, or an individual who is reasonably identifiable.

It covers:

  • this website
  • the Workshop platform and Logistics platform
  • the Driver app and Worker app

It doesn’t cover third-party websites we link to, which have their own privacy policies. Using the website, platforms and apps is also governed by our Website Terms, Business Terms, Driver App Terms and Worker App Terms.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

1. Businesses, their people and us

Most of the information in Enroute is put there by the businesses that use it: workshops and logistics companies. Their drivers, workers and customers are the people it is about. We store and process it so the business can run its work, and the business decides how it uses Enroute.

If you use Enroute through a company, such as your employer or a fleet you drive for, that company also has privacy responsibilities to you. You can ask questions of the company as well as of us.


2. What we collect

Accounts

For everyone who has an account: your name, mobile number, email address, username, role, the businesses you belong to, and your password (stored securely, never in plain text).

Drivers

  • your driver licence number and expiry date, if they are recorded
  • trips and your trip log: start, breaks, arrivals, finish, odometer readings, fuel, maintenance and notes
  • pre-start and post-trip inspections: your answers, photos, signature and where the inspection was done
  • faults and breakdown requests: the fault, photos and video, and your location
  • your location during trips (see section 3)

Workers

  • the jobs, job cards and tasks you work on, the time you log, and your notes, photos and video
  • clock-in and clock-out times, with your location and street address
  • sign-off signatures you collect, including the customer’s name and signature
  • your location during breakdown jobs (see section 3)

Workshops’ customers and vehicles

  • customer names and contact details, and whether the customer is a business or an individual
  • vehicles: registration, VIN, make and model, and service history
  • quotes, invoices, bookings and payment records

Card payments are handled by Stripe. We don’t store full card numbers.

When you book a demo, ask a question or apply for a job

The Book a demo form asks what you run, your name, company and work email, and optionally your phone number, fleet size and a message. Job applications are sent by email, and we receive whatever you include, such as your resume, links, work samples and any video.

Devices, usage and the website

  • Website analytics. Google Analytics tells us how the website is used: pages visited, rough location, device and browser, and how visitors arrived. It uses cookies (see section 4).
  • App and platform analytics. PostHog tells us how the apps and platforms are used, such as which screens and features are used.
  • Error reports. Sentry collects technical details when something goes wrong, so we can fix it.
  • Notifications. Your device’s push notification token, platform and app version, so we can send you notifications.
  • Server logs. Standard request details, such as IP address, browser and the pages requested, to keep Enroute running and secure.

We don’t use advertising or social media tracking pixels, and we don’t sell or rent personal information.

We don’t knowingly collect sensitive information, such as health information or criminal records, unless you choose to give it to us and it is needed for a purpose you have agreed to.


3. Location

Driver app

  • While a trip is in progress, the Driver app collects your location every few seconds, including when the app is in the background, and sends it to Enroute. It is stored as the trip’s route. Collection stops when no trip is in progress.
  • Trip log entries, when you start, take a break, arrive, finish, or record fuel or maintenance, save your location and street address.
  • Inspections save where they were done. Breakdown requests send your location to the partner workshop.
  • The App also uses your location, without storing it, when you create a trip, look for nearby facilities, or show your position on the map.

Worker app

  • Clock-in and clock-out save your location and street address.
  • On a breakdown job, from ‘On my way’ until you arrive, your live location is sent to the driver and company who requested the help.
  • While you are logged in, the Worker app may collect your location in the background so it is ready for these moments.

Who sees it

  • Your company’s authorised staff. Dispatchers see drivers’ live location and trip routes. Workshops see where their workers clocked in and out, and their workers’ live positions.
  • On a breakdown, the driver and their company see the assigned worker from ‘On my way’ until arrival, and the partner workshop receives the breakdown location.

To turn a street address or place name into a location, or to find nearby places, the apps send coordinates to Google Maps Platform.

Your control

You can change location permissions in your phone’s settings at any time. Trips, tracking, clocking in and breakdown jobs won’t work properly without them.


4. Cookies and browser storage

On the website:

  • Analytics cookies. Google Analytics sets cookies to tell visits apart, so we can see how the site is used. They last up to two years.
  • Preferences. If you close the trial announcement at the top of the page, your browser remembers it, so it stays closed. This is kept in your browser’s storage, not a cookie, and never leaves your device.

You can block or delete cookies in your browser settings, and the site will still work. You can also stop Google Analytics on every site with Google’s opt-out browser add-on.


5. How we use it

  • to provide the platforms and apps to businesses and their people
  • to show a business its own data: trips, jobs, timesheets, inspections, vehicles, customers and invoices
  • to send breakdown requests to partner workshops and keep the driver updated
  • to process payments and send notifications
  • to reply to demo requests and questions, and to consider job applications
  • to understand how Enroute is used, fix problems and improve it
  • to keep Enroute secure and to meet our legal obligations

We won’t use your personal information for a materially different purpose without telling you first and, where the law requires it, asking for your consent.

If you contact us, we may send you updates about Enroute. Every marketing email we send identifies us and includes an unsubscribe link, and we act on an unsubscribe within five business days, as the Spam Act 2003 (Cth) requires.


6. Who we share it with

Within Enroute’s features

  • Your company. Information you record in the apps is available to the business you record it for.
  • Partner workshops. A breakdown request shares the company, driver, vehicle, location, fault details and photos with the partner workshop handling it.
  • Other workshops, for vehicle history. Service history recorded against a vehicle can be shown to other workshops on Enroute that work on the same vehicle.
  • Sub-dealers. When a workshop sends a job to another workshop, the details of that job are shared with it.

Service providers

These providers handle personal information on our behalf:

  • Google Cloud hosts the platforms, apps, website, database and stored files.
  • Google Workspace delivers and stores the email that demo requests and job applications arrive in.
  • Google Maps Platform provides maps, addresses and nearby places.
  • Google Analytics measures how the website is used.
  • Firebase Cloud Messaging, from Google, delivers push notifications.
  • PostHog measures how the apps and platforms are used.
  • Sentry collects error reports.
  • Stripe processes card payments.
  • Cellcast sends SMS login codes.
  • A vehicle data provider looks up registration details.
  • Our email provider sends notifications and account emails.

Other sharing

  • Where the law requires it, for example in response to a court order or a request from a regulator.
  • If our business changes hands. If Enroute is involved in a merger, acquisition or sale of assets, personal information may pass to the new owner. We will take reasonable steps to let you know before your information becomes subject to a different privacy policy.
  • As de-identified statistics, such as total trips or visits, that cannot reasonably be used to identify you.

7. Information held overseas

  • The platforms, apps and database run on Google Cloud in Melbourne, Australia.
  • The website is hosted on Google Cloud in Singapore.
  • Google (for Analytics, Maps, Firebase and Workspace), PostHog, Sentry and Stripe may process data in the United States and other countries where they operate.

Before information goes overseas, we take reasonable steps to make sure it is protected to a standard comparable with the Australian Privacy Principles, including relying on these providers’ data protection terms for business customers.


8. Keeping it secure

Information is sent over encrypted connections. Access inside Enroute and inside each business’s account is limited by role. No system is completely secure, though, so we can’t guarantee that information will never be lost or accessed without permission.


9. How long we keep it

  • Business data, including location. We keep a business’s data while its account is active. A business can delete trips and records from its account. We delete a business’s data, including location data, within 90 days after its account closes, except records we must keep by law.
  • Deleted app accounts. Deleting your account in the Driver or Worker app hides your account. The records you made for a business, such as trip logs, inspections, job cards and timesheets, stay with that business until its account closes. If you used a Personal profile, you can ask us to erase your data (see section 10).
  • Demo requests and job applications. Only as long as we need them for the reason they were sent, and for our business records.
  • Website analytics. For the retention period set in our Google Analytics account.

10. Your choices and rights

You can ask us to:

  • tell you what personal information we hold about you
  • correct information that is wrong or out of date
  • delete your personal information, unless the law requires us to keep it, or the record belongs to a business that needs to keep it
  • stop contacting you about Enroute

If your information was recorded for a business, we may need to work with that business to respond. Email us (see section 14). We aim to respond within 30 days.


11. Children

Enroute isn’t aimed at children under 18, and the apps require users to be 18 or over. We don’t knowingly collect children’s personal information. If you think a child has given us personal information, contact us and we will delete it.


12. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.


13. Changes to this policy

We may update this policy as Enroute changes. The date at the top shows when it was last updated. If a change is significant, we will tell you in the apps or by email.
