Creating a Job Card

Job cards are the heart of your workshop management. Each job card tracks a vehicle's service or repair from start to finish.

When to Create a Job Card

Create a new job card when:

  • A customer brings in a vehicle for service
  • You schedule upcoming maintenance work
  • A vehicle needs repairs or inspection

Step-by-Step Guide

1. Start Creating a Job Card

Click the "New Job Card" or "Create Job Card" button on your dashboard.

Find and click the Create Job Card button


2. Enter Order Number

Enter a unique order number for this job card. This helps you track and reference the job later.

Tips:

  • Order numbers follow a pattern (e.g., 001, 002, 003...)
  • Use the next number in sequence
  • This field is required

3. Select or Add Customer

Choose an existing customer from the dropdown, or add a new customer if they're not in your system yet.

To add a new customer:

  • Click "Add New Customer" in the dropdown
  • Fill in their name, phone, and email
  • The customer will be saved and selected automatically

4. Select or Add Vehicle

Choose the vehicle from the dropdown, or register a new vehicle.

To add a new vehicle:

  • Click "Add New Vehicle" in the dropdown
  • Enter registration number, make, and model
  • Save and it will be selected automatically

5. Add Tasks or Services

Add the work that needs to be done on the vehicle. You have two options:

Option A: Manual Tasks (Custom Pricing)

Add tasks manually and set your own pricing.

Add task name, description, price, and cost manually

How to add manual tasks:

  1. Click "Add Task"
  2. Enter task name (e.g., "Oil Change", "Brake Inspection")
  3. Add description (optional)
  4. Set price (what customer pays)
  5. Set cost (your expense)

Option B: Use Custom Checklist (Automated)

Use a predefined checklist where pricing is already set.

How to use checklist:

  1. Click "Use Checklist"
  2. Select from your saved checklists
  3. All tasks and pricing are added automatically

6. Add Spare Parts (Optional)

If the job requires spare parts, add them here.

How to add spare parts:

  1. Click "Add Spare Part"
  2. Enter part name (e.g., "Oil Filter", "Brake Pads")
  3. Enter quantity
  4. Set price per unit
  5. Add more parts as needed

Note: This section is optional. Skip it if no parts are needed.


7. Review Summary

Check the summary panel on the right to see:

  • Total price (what customer will pay)
  • Total cost (your expenses)
  • Profit margin

Review totals before creating the job card

Make sure:

  • All required fields are filled (marked with *)
  • Customer and vehicle are selected
  • At least one task is added
  • Prices are correct

8. Create the Job Card

Once everything looks good, click the "Create" or "Submit" button.

After creating:

  • You'll see a success message
  • You'll be taken to the job card detail page
  • From there, you can assign workers

Common Mistakes to Avoid

Forgetting required fields

  • Make sure order number, customer, vehicle, and at least one task are filled
  • Look for red error messages if something is missing

Not reviewing the summary

  • Always check totals before creating
  • Verify pricing is correct
